Roles in Skolon

Skolon is role and rights-managed, where users gain access to different functions in the platform based on their assigned role

Teacher

Uses Skolon for easy access to their digital learning resources and tools from My Collection. Has access to their digital learning resources, the staffroom, and may also have access to the Skolon App Store. When it comes to purchasing, teachers can search for tools in the Skolon App Store, start free demos for themselves or together with their students, and submit requests for purchases that an organisation administrator can review. These features create the conditions for a teacher-driven purchasing process where teachers are involved in decisions and purchases of their digital learning resources.

Student

Students primarily use Skolon for easy access to their digital learning resources and tools from My Collection. They generally do not have a significant role in the process for purchasing school tools in Skolon, but if the school has the Skolon App Store enabled for students, they have the opportunity to search for tools there and start free demos for themselves.

Organisation Administrator

This role has full rights within the system, with the ability to configure the system, assign rights, manage licences and tools, and monitor usage statistics. The organisation administrator can make orders for the entire responsible authority and all schools within the organisation. There are also views for order history and recurring renewals (subscriptions) to track purchases for the entire organisation and individual schools. The organisation administrator has access to the functions related to data security and GDPR compliance, i.e., to register Data Processing Agreements, approve suppliers, and pseudonymise user data. Common job titles that usually have this role: IT/ICT Strategist, IT/ICT Coordinator, Development Manager, Administration Manager, System Administrator, Subject Specialist, Data Protection Officer, Contract Manager.

School Administrator

A user can be a school administrator for one or more schools. This role has rights within the system with the ability to manage and assign licences and tools, as well as monitor statistics and usage. Common job titles that usually have this role: School Administrator/Bursar, IT/ICT Teacher, Headteacher, Deputy Headteacher, Leading Teacher, Teacher with a focus on digitalisation, and User Support for the platform.

Purchaser

Requisitioners log in to a purchaser account from an e-commerce system and can pick items to create a shopping basket to order licences from the Skolon App Store from there.

Sync Administrator

To gain access to the "Syncs and Data Flows" feature, you need to have the role of organisation administrator or sync administrator. The sync administrator permission is assigned by the organisation administrator and can then be linked to one or more schools. Note that you do not need to be a school administrator to access Syncs and Data Flows. The functions a sync administrator can be granted permission to are:

  • Microsoft Teams - Ability to manage which classes and groups should be synced.

Budget Administrator This role is assigned to a school administrator by the organisation administrator. This gives the school administrator access to the "Purchasing Rights" tab in Skoladmin. This function is used to create purchasing rights for users who should have the ability to make purchases.
